Event Planner Contract

This Event Planner Contract ('Agreement') is made and entered into on this {{day}} day of {{month}}, {{year}}, by and between:

{{client_name}}, residing at {{client_address}} (hereinafter referred to as 'the Client'),

AND

{{planner_company_name}}, a company duly registered under the laws of {{country}}, with its principal place of business at {{planner_company_address}} (hereinafter referred to as 'the Planner').

1. Services Provided

The Planner agrees to provide professional event planning services for the event described as '{{event_name}}' (hereinafter referred to as 'the Event'). These services shall include, but are not limited to, the following:

• Event concept and design.

• Venue selection and management.

• Vendor sourcing and coordination (catering, entertainment, décor, etc.).

• Budget management and financial oversight.

• Timeline development and management.

• On-site event coordination and management.

2. Event Details

3. Fees and Payment Schedule

The Client agrees to pay the Planner a total fee of {{total_fee}} ({{currency}}) for the services rendered. Payment shall be made according to the following schedule:

• A non-refundable retainer of {{retainer_amount}} ({{currency}}) upon signing of this Agreement.

• An interim payment of {{interim_payment_amount}} ({{currency}}) by {{interim_payment_date}}.

• The final balance of {{final_balance_amount}} ({{currency}}) no later than {{final_payment_date}} prior to the event date.

Any additional services requested by the Client outside the scope of this Agreement will be subject to additional charges, agreed upon in writing by both parties.

4. Client Responsibilities

The Client agrees to:

• Provide timely decisions, approvals, and necessary information to the Planner.

• Make payments as per the agreed schedule.

• Communicate any changes or concerns regarding the Event promptly.

• Be responsible for the accuracy of all information provided to the Planner.

5. Cancellation and Termination

In the event of cancellation by the Client:

• If cancelled before {{cancellation_date_1}}, the retainer will be forfeited.

• If cancelled between {{cancellation_date_1}} and {{cancellation_date_2}}, {{percentage_of_fee_1}}% of the total fee will be due.

• If cancelled after {{cancellation_date_2}}, the full total fee will be due.

The Planner reserves the right to terminate this Agreement if the Client fails to make payments as agreed or breaches any material term of this Agreement. In such cases, the Client remains liable for all services rendered up to the date of termination and any non-recoverable expenses.

6. Indemnification and Limitation of Liability

The Client agrees to indemnify and hold harmless the Planner, its employees, and agents from any and all claims, damages, liabilities, costs, and expenses (including attorneys' fees) arising from the Client's breach of this Agreement, negligence, or willful misconduct.

The Planner's liability for any claim arising out of or in connection with this Agreement shall not exceed the total fees paid by the Client to the Planner under this Agreement.

7. Force Majeure

Neither party shall be liable for any failure or delay in performing its obligations under this Agreement if such failure or delay is caused by circumstances beyond its reasonable control, including but not limited to acts of God, war, terrorism, riots, embargoes, acts of civil or military authorities, fire, floods, accidents, pandemics, or strikes.

8. Governing Law and Dispute Resolution

This Agreement shall be governed by and construed in accordance with the laws of {{country_of_jurisdiction}}.

Any dispute arising out of or in connection with this Agreement, including any question regarding its existence, validity, or termination, shall be referred to and finally resolved by arbitration in accordance with the rules of {{arbitration_body}}.

9. Entire Agreement

This Agreement constitutes the entire agreement between the parties with respect to the subject matter hereof and supersedes all prior discussions, negotiations, and agreements, whether oral or written.
