Introduction
This document outlines the operational guidelines and mutual expectations for a productive working relationship between {{company_name}} ('the Company') and its Virtual Assistant ('the VA'). These guidelines are designed to foster clarity, efficiency, and respect in a remote work environment, specifically tailored for the dynamic business landscape of Southern Africa.
Scope of Work and Responsibilities
The VA will be responsible for performing tasks as mutually agreed upon between the Company and the VA. This may include, but is not limited to: administrative support, social media management, content creation, data entry, customer service, and research. Specific tasks will be communicated clearly through {{project_management_tool}} or {{communication_platform}}.
The VA is expected to manage their time effectively to meet deadlines and communicate any potential delays promptly. The Company reserves the right to modify the scope of work based on evolving business needs, with prior discussion and agreement with the VA.
Communication Protocols
All primary communication will occur via {{communication_platform}} (e.g., Slack, Microsoft Teams, Email). Response times for urgent queries should be within {{urgent_response_time}} hours, and for non-urgent queries within {{non_urgent_response_time}} hours during agreed-upon working hours.
Regular check-ins will be scheduled on {{meeting_frequency}} via {{video_conferencing_tool}} (e.g., Zoom, Google Meet). The VA is expected to provide concise updates on task progress and challenges. Clear and professional language is expected in all communications.
Working Hours and Availability
The agreed-upon working hours are {{start_time}} to {{end_time}} {{timezone}}, {{days_of_week}}. Any deviation from these hours, including planned leave or unforeseen absences, must be communicated to {{manager_name}} at least {{notice_period_for_absence}} in advance, where possible.
While flexibility is a benefit of working with a VA, consistent availability during stipulated periods is crucial for seamless operations. Public holidays observed in {{country_of_operation_SME}} and {{country_of_operation_VA}} should be noted and discussed for scheduling purposes.
Confidentiality and Data Security
The VA agrees to maintain strict confidentiality regarding all Company information, data, and intellectual property. This includes, but is not limited to, client lists, financial data, marketing strategies, and internal communications.
Access to Company systems and data will be granted on a 'need-to-know' basis. The VA is responsible for ensuring the security of their workspace and devices used for Company work, including the use of strong passwords and secure network connections. No Company data should be stored on personal devices without explicit authorization.
Performance and Feedback
Performance will be assessed regularly based on task completion, quality of work, adherence to deadlines, and communication effectiveness. Feedback will be provided constructively during {{feedback_frequency}} reviews.
The Company is committed to providing necessary resources and clear instructions to enable the VA to perform their duties successfully. The VA is encouraged to seek clarification and provide feedback on processes or tools to improve efficiency.
Payment Terms
Payment for services rendered will be made at the agreed-upon rate of {{hourly_rate}} per hour or a fixed rate of {{fixed_monthly_rate}} per month, payable on the {{payment_day}} of each month for the preceding period.
Invoices are to be submitted by the VA by {{invoice_submission_day}} of each month to {{accounts_email_address}}. Payments will be made via {{payment_method}} (e.g., bank transfer, PayPal). All applicable taxes are the responsibility of the VA.
Termination of Agreement
Either party may terminate this working relationship with {{notice_period_for_termination}} days' written notice.
In the event of immediate termination due to gross misconduct or breach of confidentiality by the VA, no notice period will be required, and outstanding payments will be calculated up to the date of termination. Likewise, if the Company fails to meet its obligations, the VA may terminate with immediate effect.
Governing Law
This agreement shall be governed by and construed in accordance with the laws of {{country_of_governing_law}}.
