This policy outlines the acceptable use of the company’s email systems and resources. All employees, contractors, and temporary staff who access or use the company's email system are bound by this policy.
1. Purpose
The purpose of this email policy is to ensure the appropriate, secure, and efficient use of the company's email system, protect sensitive information, prevent misuse, and comply with legal and regulatory requirements. This policy aims to minimise risks associated with email usage, including security breaches, legal liabilities, and reputational damage.
2. Scope
This policy applies to all electronic mail (email) sent to, from, or stored on the company's email systems, including company-issued devices (laptops, mobile phones, tablets) and personal devices used for work-related activities. It covers all employees, contractors, interns, and any other individuals granted access to the company's email infrastructure.
3. Acceptable Use
3.1. **Business Use Only:** The company's email system is provided for legitimate business purposes only. Limited and incidental personal use may be tolerated, provided it does not interfere with job performance, consume excessive resources, or violate any other company policies.
3.2. **Professional Conduct:** All email communications must be professional, courteous, and respectful. Employees must not send emails that are discriminatory, harassing, defamatory, obscene, or threatening.
3.3. **Confidentiality:** Employees must maintain the confidentiality of company information. Sensitive, proprietary, or confidential information must not be transmitted via email unless encrypted and authorised. Employees must exercise caution when sending emails containing personal data of employees, clients, or third parties, adhering strictly to data protection regulations.
3.4. **Email Content:** Emails should be concise, clear, and accurate. Avoid sending unsolicited bulk emails (spam), chain letters, or any content that could be perceived as offensive or inappropriate. The company reserves the right to monitor all email content.
3.5. **Attachments:** Extreme caution must be exercised when opening email attachments from unknown or suspicious sources. Employees must not open attachments that they are not expecting or that have unusual file extensions. All attachments must be scanned for viruses before opening. Large attachments should be compressed or shared via approved company file-sharing platforms.
4. Prohibited Activities
The following activities are strictly prohibited:
4.1. Sending or forwarding unsolicited commercial emails (spam).
4.2. Sending or forwarding chain letters, hoax messages, or pyramid schemes.
4.3. Creating, storing, or transmitting offensive, discriminatory, harassing, or sexually explicit material.
4.4. Disclosing confidential, proprietary, or sensitive company information to unauthorised individuals or entities.
4.5. Using the company email system for illegal activities, including copyright infringement, fraud, or defamation.
4.6. Impersonating another individual or sending emails under a false identity.
4.7. Attempting to gain unauthorised access to other email accounts or systems.
4.8. Introducing viruses, malware, or other malicious code into the company network via email.
4.9. Using company email for political campaigning or lobbying, unless explicitly authorised as part of official company activities.
4.10. Auto-forwarding company emails to external personal accounts without explicit management approval.
5. Email Security
5.1. **Passwords:** Employees must use strong, unique passwords for their email accounts and change them regularly as per company IT policy. Passwords must not be shared with anyone.
5.2. **Phishing and Scams:** Employees must be vigilant against phishing attempts and social engineering tactics. Never click on suspicious links or provide personal or company information in response to unsolicited emails.

Employees should have no expectation of privacy when using the company's email system. Violations of this policy may result in disciplinary action, up to and including termination of employment, and potential legal action.
