1. Policy Statement

{{company_name}} is committed to maintaining a professional and productive work environment. Punctuality is a fundamental expectation for all employees to ensure efficient operations, meet client commitments, and avoid disruption to team activities. This policy outlines the company's stance on late arrivals for scheduled work or appointments.

2. Scope

This policy applies to all employees of {{company_name}}, regardless of their employment contract type, position, or department. It covers all scheduled work shifts, meetings, training sessions, and any other company-mandated appointments.

3. Definition of Late Arrival

An employee will be considered to have a late arrival if they are not present and ready to commence their duties at their designated workstation or scheduled meeting location by their official start time or appointment time. A grace period of {{grace_period_minutes}} minutes may be applied at the discretion of management, though consistent use of this grace period is discouraged.

4. Employee Responsibilities

Employees are responsible for:

- Arriving at work or scheduled appointments on time.

- Notifying their immediate supervisor or manager as soon as practicably possible if they anticipate being late, providing a reason and an estimated time of arrival.

- Making every effort to minimise the frequency and duration of late arrivals.

5. Management Responsibilities

Managers are responsible for:

- Clearly communicating start times and appointment schedules to employees.

- Consistently applying this policy.

- Recording instances of late arrival.

- Discussing persistent punctuality issues with employees and implementing appropriate corrective actions as per this policy.

6. Procedure for Late Arrival Notification

In the event of an anticipated late arrival, employees must:

- Contact their direct supervisor or designated manager by {{notification_method}} (e.g., phone call, email, messaging app) at least {{notification_time_prior}} minutes/hours before their scheduled start/appointment time.

- Provide their name, estimated time of arrival, and a brief reason for the delay. (e.g., 'I will be approximately 15 minutes late due to unexpected traffic.')

7. Disciplinary Action for Non-Compliance

Failure to adhere to this Late Appointment Policy may result in disciplinary action, which will be administered in accordance with {{company_name}}'s Disciplinary Code and Procedures. Disciplinary actions may include, but are not limited to:

1. **First Instance:** Verbal warning and documented discussion.

2. **Second Instance:** Written warning, which will be placed in the employee's personnel file.

3. **Third Instance:** Final written warning, potentially accompanied by a short suspension without pay.

4. **Persistent Lateness:** Further instances may lead to a disciplinary hearing and potential termination of employment.

The severity of disciplinary action may also depend on the frequency, duration, impact of the lateness, and the employee's reason for the delay.

8. Review and Amendments

This policy will be reviewed on an annual basis, or as required, to ensure its continued relevance and effectiveness. Any amendments to this policy will be communicated to all employees.
