1. Purpose and Scope

This Telework Policy ("Policy") establishes the guidelines and expectations for employees who wish to perform their job duties from a location other than the company's primary office. The purpose of this Policy is to provide flexibility while maintaining productivity, operational efficiency, and a secure working environment. This Policy applies to all eligible employees of {{company_name}} who are approved for telework arrangements.

2. Eligibility for Telework

Telework is a privilege, not a right, and is subject to management approval. Eligibility for telework will be determined based on several factors, including but not limited to:

a. The nature of the employee's job duties and whether they can be performed effectively remotely.

b. The employee's performance record, including reliability, work quality, and ability to work independently.

c. The employee's ability to maintain regular communication with supervisors and colleagues.

d. The availability of necessary equipment, technology, and a suitable remote workspace.

e. Business needs and operational requirements of {{company_name}}.

Employees must complete the 'Telework Request Form' (Appendix A) and obtain approval from their direct manager and Human Resources prior to commencing any telework arrangement.

3. Telework Agreement

Upon approval, employees will be required to sign a 'Telework Agreement' (Appendix B) which will outline the specific terms and conditions of their telework arrangement. This agreement will include, but is not limited to:

a. The designated telework location.

b. The agreed-upon work schedule and expected availability.

c. Communication protocols and reporting requirements.

d. Equipment and technology responsibilities.

e. Security and confidentiality requirements.

f. Duration of the telework arrangement and review periods.

g. How expenses such as internet, electricity, and other utilities will be handled.

4. Work Environment and Equipment

Employees are responsible for establishing a safe, ergonomically sound, and productive workspace that is free from distractions. {{company_name}} will provide essential equipment necessary for performing job duties (e.g., laptop, monitor) as determined by the company. Employees are responsible for maintaining and protecting company-provided equipment. Any personal equipment used for telework must meet company security and compatibility standards. {{company_name}} is not responsible for damages to personal equipment.

5. Work Hours and Productivity

Teleworking employees are expected to maintain the same work hours, productivity levels, and adhere to all company policies and procedures as if they were working in the office. Regular communication with supervisors and team members is essential. Employees must be available during their agreed-upon work hours and respond to communications in a timely manner. Performance will be evaluated based on results and adherence to objectives, regardless of work location.

6. Communication and Collaboration

Teleworking employees are expected to actively participate in meetings, team discussions, and other collaborative activities using approved communication tools (e.g., video conferencing, instant messaging). Regular check-ins with supervisors and team members are mandatory to ensure alignment and address any challenges. Employees must notify their supervisor immediately of any issues that may impact their ability to perform their duties or meet deadlines.

7. Data Security and Confidentiality

Maintaining the security and confidentiality of company data, intellectual property, and client information is paramount. Teleworking employees must adhere to all company data security policies, including using secure networks, password protection, and safeguarding physical and electronic documents. Access to company systems and data must only be through approved and secure methods. Any breach or suspected breach of security must be reported immediately to {{IT_department_contact}}.

8. Termination of Telework Arrangement

{{company_name}} reserves the right to modify or terminate a telework arrangement at any time, with or without prior notice, at its sole discretion. Reasons for termination may include, but are not limited to, changes in business needs, performance issues, policy violations, or concerns regarding productivity or security. 9. Insurance and Liability

Employees are responsible for understanding their homeowner's or renter's insurance policy coverage regarding personal property and liability when working from home. {{company_name}} will not be responsible for injuries occurring at the remote worksite that are not work-related. For work-related injuries, employees must follow established company procedures for reporting workplace accidents.
