Policy Title
Unlimited Vacation Policy
Effective Date
This policy is effective as of {{effective_date}}.
Purpose
{{company_name}} believes in empowering our employees and fostering a culture of trust and responsibility. This Unlimited Vacation Policy is designed to provide our employees with the flexibility to manage their work and personal lives, promote well-being, and encourage responsible time off. We trust our employees to take the time they need to recharge, attend to personal matters, and maintain a healthy work-life balance, while ensuring their responsibilities are met and business operations are not disrupted.
Policy Overview
Under this policy, eligible employees do not have a set number of paid time off (PTO) days per year. Instead, employees are encouraged to take vacation time as needed, provided it is approved by their manager in advance and does not negatively impact business operations or team productivity. This policy replaces all previous annual leave accrual policies.
This policy does not apply to sick leave, compassionate leave, maternity leave, paternity leave, or other statutory leave types, which are governed by separate policies and relevant labour laws.
Eligibility
This policy applies to all full-time, permanent employees of {{company_name}} who have completed their probationary period. Contract workers, temporary employees, and part-time employees are not eligible for this policy and will have their time off governed by their respective employment contracts or statutory provisions.
Requesting Vacation Time
Employees must submit a vacation request to their direct manager for approval in advance. The recommended notice period for vacation requests is {{notice_period_weeks}} weeks for periods longer than {{number_of_days}} days, and {{short_notice_period_days}} days for shorter requests. However, managers may approve shorter notice periods at their discretion, especially for unforeseen circumstances. Approval of vacation requests will be based on business needs, project deadlines, and team coverage. During peak periods, managers may need to limit the number of employees on leave. Employees are responsible for ensuring their work responsibilities are covered before taking leave.
All vacation requests must be submitted through the company's designated HR system, {{HR_system_name}}, and include the proposed start and end dates of the leave.
Manager Responsibilities
Managers are responsible for reviewing and approving or denying vacation requests in a timely manner, considering business demands and team capacity. Managers should ensure that all employees have adequate opportunities to take time off and that no single employee is unduly denied leave. Managers should also work with their teams to plan for coverage during employee absences.
Impact on Statutory Leave and Public Holidays
This Unlimited Vacation Policy pertains to discretionary time off and does not affect an employee's entitlement to statutory leave types (e.g., compassionate leave, sick leave, maternity leave, paternity leave) as stipulated by the labour laws of the relevant Southern African country (e.g., Basic Conditions of Employment Act in South Africa). Public holidays will be observed as per national regulations and are in addition to time taken under this policy.
Termination of Employment
Upon termination of employment, for any reason, employees will not be paid out for any unused vacation time under this Unlimited Vacation Policy, as there is no accrual of vacation days. This policy replaces any previous policies regarding vacation pay-outs upon termination.
Policy Review
This policy will be reviewed periodically, at least every {{review_period_months}} months, and may be amended by {{company_name}} at its sole discretion, with appropriate communication to all employees.
Acknowledgement
I, {{employee_name}}, acknowledge that I have read, understood, and agree to abide by the terms and conditions of the Unlimited Vacation Policy of {{company_name}}.
