1. Purpose and Scope
This Vacation Policy (“Policy”) establishes the guidelines for vacation leave for all eligible employees of {{company_name}}. The purpose of this Policy is to provide employees with an opportunity for rest and rejuvenation while ensuring the continued smooth operation of the company. This Policy applies to all full-time employees and, where specified, to part-time employees. This Policy is subject to applicable labor laws and regulations in {{country_name}}.
2. Vacation Accrual
Employees begin accruing vacation leave from their first day of employment. Vacation days accrue on a {{monthly/bi-weekly/annual}} basis at a rate of {{number}} days per {{month/two weeks/year}} for full-time employees. Part-time employees accrue vacation leave on a pro-rata basis, commensurate with their average weekly hours worked. The maximum amount of vacation leave an employee can accrue and carry over into a new year is {{number}} days. Any accrued vacation leave above this maximum will be forfeited unless otherwise approved by management.
Accrual rates may vary based on length of service, as follows:
- Less than {{number}} years of service: {{number}} days per year
- {{number}} to {{number}} years of service: {{number}} days per year
- More than {{number}} years of service: {{number}} days per year
3. Vacation Request Procedure
All vacation requests must be submitted in writing using the official Vacation Request Form (available from HR or {{online_portal}}) to the employee’s direct supervisor at least {{number}} weeks in advance of the requested vacation start date. Requests for extended vacation periods (e.g., more than {{number}} consecutive days) may require additional notice. Approval of vacation requests is at the discretion of management, taking into account departmental staffing needs and business demands. Employees should not make travel arrangements or commitments until their vacation request has been officially approved.
4. Vacation Usage
Vacation leave must be taken in full-day or half-day increments. Employees are encouraged to use their accrued vacation leave regularly throughout the year to maintain a healthy work-life balance. Vacation leave cannot be used as a substitute for sick leave or other forms of paid time off unless explicitly permitted by company policy or applicable law. In cases of unforeseen circumstances or emergencies, employees should inform their supervisor as soon as reasonably possible regarding any changes to approved vacation plans.
Blackout periods for vacation may be implemented during peak business times. Employees will be notified in advance of any such periods.
5. Vacation Payout Upon Termination
In accordance with applicable labor laws in {{country_name}}, unused, accrued vacation leave will be paid out to employees upon termination of employment. The payout will be calculated at the employee’s regular rate of pay at the time of termination. This provision applies to both voluntary and involuntary terminations, subject to any specific legal requirements or collective bargaining agreements.
6. Unpaid Leave
In exceptional circumstances where an employee has exhausted all accrued vacation leave and requires additional time off, unpaid leave may be granted at the sole discretion of management. Requests for unpaid leave must be submitted in writing with a clear explanation of the circumstances. Unpaid leave will not accrue vacation benefits or other paid time off benefits.
7. Policy Review
This policy will be reviewed periodically by {{company_name}} and may be amended or updated at any time. Employees will be informed of any significant changes to the policy.
