EMPLOYEE COMPANY VEHICLE USE AGREEMENT
This Employee Company Vehicle Use Agreement ("Agreement") is made and entered into on this {{day}} day of {{month}}, {{year}}, by and between {{company_name}}, a company duly registered under the laws of {{country_of_registration}}, with its principal place of business at {{company_address}} (hereinafter referred to as the "Company"), and {{employee_name}}, an employee of the Company residing at {{employee_address}} (hereinafter referred to as the "Employee").
1. Vehicle Assignment
The Company agrees to provide the Employee with a company vehicle for business purposes as outlined in this Agreement. The vehicle details are as follows:

The Employee acknowledges that the vehicle remains the sole property of the Company at all times and is provided for the primary purpose of conducting Company business. Limited personal use may be permitted as per Company policy.
2. Permitted Use and Restrictions
The Employee agrees to use the company vehicle primarily for business-related travel, including but not limited to client meetings, site visits, and Company-assigned tasks. Any personal use must be approved by {{approving_manager_name}} and is subject to the Company's Vehicle Use Policy. The Employee shall not permit any unauthorized person to operate the vehicle. The vehicle shall not be used for illegal activities, towing, racing, or off-road driving unless explicitly authorized for specific business functions. The Employee is responsible for ensuring all passengers adhere to safety regulations, including wearing seatbelts.
3. Maintenance and Care
The Employee is responsible for the proper care and maintenance of the vehicle, including:
a. Regularly checking fluid levels, tire pressure, and lights.
b. Reporting any mechanical issues, damage, or need for service to {{reporting_person_or_department}} within {{number_of_hours}} hours of discovery.
c. Keeping the vehicle clean, both inside and out.
d. Adhering to the manufacturer's recommended service schedule, coordinating with {{maintenance_contact_person/department}} for all necessary servicing and repairs.
e. Any costs incurred due to negligent use or failure to report issues promptly may be recoverable from the Employee.
4. Insurance and Accidents
The Company will maintain appropriate insurance coverage for the vehicle. In the event of an accident, the Employee must:
a. Ensure the safety of all parties involved and call for emergency services if necessary.
b. Report the accident immediately to the police and to {{reporting_person_or_department}} within {{number_of_hours}} hours.
c. Collect all relevant information, including names, contact details, insurance information of other parties involved, and witness statements.
d. Not admit fault or make any statements that could compromise the Company's insurance claim.
e. Cooperate fully with any insurance investigation. The Employee is responsible for any deductibles or uninsured losses if the accident is determined to be a result of the Employee's gross negligence or violation of this Agreement.
5. Traffic Violations and Fines
The Employee is solely responsible for all traffic violations, speeding fines, parking tickets, and any other penalties incurred while operating the company vehicle, regardless of whether it is during business or approved personal use. The Employee authorizes the Company to deduct the cost of any such fines from their salary if not paid by the Employee within {{number_of_days}} days of notification.
6. Return of Vehicle
Upon termination of employment, or at any time upon request by the Company, the Employee agrees to immediately return the company vehicle, along with all keys, registration documents, fuel cards, and any other associated equipment. The vehicle must be returned in the same condition as received, reasonable wear and tear excepted. Failure to return the vehicle promptly may result in legal action and/or charges for unauthorized use.
7. Company's Right to Amend Policy
The Company reserves the right to amend or update its Company Vehicle Use Policy at any time, with or without prior notice to the Employee. Any changes will be communicated to the Employee and will become binding upon notification. Continued use of the company vehicle after such notification signifies the Employee's acceptance of the revised terms.
8. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of {{country_of_governance}}.
9. Acknowledgment and Agreement
By signing below, the Employee acknowledges that they have read, understood, and agree to abide by all the terms and conditions set forth in this Employee Company Vehicle Use Agreement and the Company's Vehicle Use Policy (a copy of which has been provided to the Employee).
