Event Planning Services Agreement

This Event Planning Services Agreement (hereinafter referred to as the "Agreement") is made and entered into on this {{day}} day of {{month}}, {{year}}, by and between:

1. {{client_name}}, with an address at {{client_address}} (hereinafter referred to as the "Client"); and

2. {{planner_company_name}}, with its principal place of business at {{planner_company_address}} (hereinafter referred to as the "Planner").

The Client and the Planner are collectively referred to as the “Parties” and individually as a “Party.”

Recitals

WHEREAS, the Client desires to engage the Planner to provide event planning services for an event (hereinafter referred to as the "Event"); and

WHEREAS, the Planner is professionally qualified and experienced in providing such event planning services; and

WHEREAS, the Parties desire to set forth the terms and conditions under which such services will be rendered. NOW, THEREFORE, in consideration of the mutual covenants contained herein, the Parties agree as follows:

Scope of Services

The Planner shall provide comprehensive event planning services for the Event, which is generally described as {{event_description}} and scheduled to take place on {{event_date}} at {{event_venue}}. The specific services to be provided by the Planner include, but are not limited to:

a) Preliminary consultation and concept development.

b) Budget creation and management ({{budget_amount}}).

c) Venue scouting and selection.

d) Vendor recommendations and coordination (e.g., catering, entertainment, photography).

e) Logistics planning and management.

f) On-site coordination and supervision during the Event.

g) Post-event reconciliation and follow-up.

Payment Terms

The Client agrees to pay the Planner a total fee of {{total_fee}} for the services rendered under this Agreement. Payment shall be made as follows:

a) An initial non-refundable deposit of {{deposit_amount}} shall be due upon the signing of this Agreement.

b) A second installment of {{second_installment_amount}} shall be due by {{second_installment_date}}.

c) The final balance of {{final_balance_amount}} shall be due no later than {{final_balance_date}} prior to the date of the Event.

All payments shall be made in {{currency}} to the Planner's nominated bank account. Any additional services requested by the Client outside the scope of this Agreement will be subject to additional charges, to be agreed upon in writing by both Parties.

Client Responsibilities

The Client agrees to:

a) Provide the Planner with all necessary information and access to facilitate the planning process in a timely manner.

b) Respond to the Planner's requests and approvals promptly.

c) Make timely payments as per the Payment Terms outlined in this Agreement.

d) Ensure all necessary permits and licenses for the Event are secured, unless otherwise agreed in writing that this responsibility falls to the Planner.

Cancellation and Termination

a) Cancellation by Client: If the Client cancels the Event, the deposit paid shall be forfeited. If cancellation occurs after the second installment has been paid, {{percentage_of_fee}}% of the total fee shall be retained by the Planner. If cancellation occurs within {{number_of_days}} days of the Event, the Client shall be liable for the full total fee.

b) Termination by Planner: The Planner reserves the right to terminate this Agreement if the Client fails to make payments as agreed or breaches any material terms of this Agreement. In such an event, any payments made to date shall be forfeited, and the Client may be liable for additional costs incurred by the Planner.

c) Force Majeure: Neither Party shall be liable for any failure or delay in performing its obligations under this Agreement if such failure or delay is caused by acts of God, war, terrorism, strikes, riots, epidemics, pandemics, or any other event beyond the reasonable control of the Party.

Confidentiality

Both Parties agree to keep confidential all proprietary and confidential information disclosed by one Party to the other during the course of this Agreement. This obligation of confidentiality shall survive the termination or expiration of this Agreement.

Governing Law and Dispute Resolution

This Agreement shall be governed by and construed in accordance with the laws of {{country_name}}. Any dispute arising out of or in connection with this Agreement, including any question regarding its existence, validity, or termination, shall be referred to and finally resolved by arbitration in {{city}} in accordance with the rules of the {{arbitration_institution}}.

Entire Agreement

This Agreement constitutes the entire agreement between the Parties and supersedes all prior discussions, negotiations, and agreements, whether oral or written, relating to the subject matter hereof.
