NOTICE TO EMPLOYEES OF NEW VACATION POLICY
Date: {{date}}
To: All Employees
From: Human Resources Department
Subject: Important Changes to Company Vacation Policy
1. Introduction
This notice serves to inform all employees of important updates and changes to our company's vacation policy, effective {{effective_date}}. These revisions have been implemented to ensure fairness, consistency, and to better support our employees' work-life balance while aligning with company objectives. Please read this document carefully to understand the new terms and conditions.
2. Vacation Accrual
Effective {{effective_date}}, the new vacation accrual method will be as follows:
- Employees with less than {{years_1}} year of service will accrue {{accrual_rate_1}} days per month.
- Employees with {{years_1}} to {{years_2}} years of service will accrue {{accrual_rate_2}} days per month.
- Employees with more than {{years_2}} years of service will accrue {{accrual_rate_3}} days per month.
Vacation days will continue to be accrued at the end of each full month of employment. Maximum accrual limit has been revised to {{max_accrual_days}} days.
3. Vacation Usage and Request Procedures
All vacation requests must be submitted through the {{HRIS_system_name}} system at least {{notice_days}} days in advance of the requested vacation start date. Requests will be approved based on departmental operational needs and staffing levels. Unplanned absences due to illness or personal emergencies are subject to the company's sick leave policy.
Employees are encouraged to plan their vacation time well in advance to ensure smooth departmental operations.
4. Carry-Over Policy
Effective immediately, employees may carry over a maximum of {{carry_over_days}} unused vacation days into the next calendar year. Any unused vacation days exceeding this limit will be forfeited at the end of the year, specifically on {{carry_over_forfeit_date}}. Employees are encouraged to utilize their vacation days within the accrual year.
5. Vacation During Notice Period
Vacation time cannot be taken during an employee's notice period for resignation or termination, unless explicitly approved in writing by the Human Resources Manager and the employee's direct supervisor. Accrued but unused vacation days will be paid out upon termination of employment in accordance with local labor laws.
6. Public Holidays and Company Shutdowns
Public holidays observed by the company are separate from vacation leave and will be granted as paid days off. In the event of a company-wide shutdown, such as during the festive season, employees will be required to utilize their accrued vacation days or take unpaid leave if they have insufficient vacation balance. Specific dates for any shutdown will be communicated in advance.
7. Employee Responsibilities
Employees are responsible for:
- Monitoring their vacation accrual and usage through the {{HRIS_system_name}} system.
- Submitting vacation requests in a timely manner.
- Ensuring that their absence does not unduly disrupt departmental operations.
- Familiarizing themselves with the full vacation policy.
8. Policy Review and Questions
The full, updated Vacation Policy is available on the Company Intranet at {{intranet_link}} or can be requested from the Human Resources Department. We encourage all employees to review the complete policy for comprehensive details.
Should you have any questions or require clarification regarding these changes, please do not hesitate to contact the Human Resources Department at {{HR_contact_email}} or extension {{HR_contact_extension}}. We are here to assist you.
Sincerely,
