1. Purpose
This document establishes the mandatory requirements for all packing slips accompanying shipments from {{company_name}}. The purpose is to ensure accurate record-keeping, efficient inventory management, and clear communication with recipients, thereby minimizing errors and improving overall supply chain efficiency.
2. Scope
This policy applies to all departments, employees, and third-party logistics providers involved in the packing and dispatch of goods on behalf of {{company_name}}, regardless of shipment destination (domestic or international).
3. Mandatory Information on Packing Slips
Each packing slip must legibly contain the following information:
a) **Sender Information:** Full legal name of {{company_name}}, full physical address, and contact telephone number.
b) **Recipient Information:** Full legal name of the recipient company or individual, full delivery address, and contact telephone number.
c) **Shipment Date:** The date the goods are dispatched from the {{company_name}} facility.
d) **Order Number/Reference:** The internal purchase order number or an equivalent unique reference number for the order.
e) **Invoice Number:** The corresponding invoice number for the goods being shipped.
f) **Itemized List of Goods:** A clear and detailed list of every item included in the shipment, including:
i. Product Code/SKU: The unique identifier for each product.
ii. Product Description: A brief but clear description of the item (e.g., 'Blue Ballpoint Pen', 'A4 Printer Paper').
iii. Quantity Shipped: The exact number of units of each item.
iv. Unit of Measure: E.g., 'units', 'boxes', 'cartons', 'rolls'.
g) **Total Number of Packages:** The total count of physical packages or cartons comprising the entire shipment.
h) **Special Instructions (if applicable):** Any specific handling instructions, delivery notes, or compliance information relevant to the shipment (e.g., 'Fragile', 'Perishable', 'Customs documentation enclosed').
4. Packing Slip Placement and Format
a) **Placement:** The packing slip must be securely affixed to the exterior of the lead package in a waterproof pouch or clearly visible on the package.
b) **Format:** Packing slips should be printed clearly on {{paper_size}} paper. Handwritten packing slips are only permissible in emergency situations with prior approval from a departmental manager and must be immediately followed by a digitally generated version.
c) **Copies:** A minimum of two copies must be generated: one for the recipient and one for internal documentation.
