1. Policy Statement

{{company_name}} is committed to providing its employees with a supportive work environment that recognizes the importance of balancing professional and personal responsibilities. This Personal Leave Policy outlines the provisions for employees to take time off for personal reasons, ensuring fairness, consistency, and compliance with relevant labour laws.

This policy applies to all permanent employees of {{company_name}}.

2. Types of Personal Leave

Personal leave may be granted for a variety of reasons, including but not limited to:

2.1. Ill-health or injury of the employee.

2.2. Ill-health or injury of an immediate family member (spouse, child, parent, grandchild, grandparent, or sibling).

2.3. Bereavement (death of an immediate family member).

2.4. Family responsibility (e.g., attending to a child's birth, urgent family matters).

2.5. Other exceptional personal circumstances, subject to management approval.

3. Eligibility and Accrual

3.1. Employees are eligible for {{number_of_days_annual}} days of paid personal leave per annum, calculated from their date of commencement.

3.2. Personal leave accrues at a rate of {{accrual_rate}} per month.

3.3. Unused personal leave may be carried over to the next year up to a maximum of {{max_carry_over_days}} days. Any unused leave exceeding this limit will be forfeited.

3.4. Personal leave is not encashable upon termination of employment.

4. Application Procedure

4.1. Employees must submit a personal leave request form (available from {{HR_department}}) to their direct manager as soon as possible, ideally {{notice_period_days}} days in advance for planned leave.

4.2. For urgent or unforeseen leave, employees must notify their manager telephonically or via email on the first day of absence, followed by a formal leave request form upon their return to work.

4.3. Medical certificates or other supporting documentation may be required for absences exceeding {{documentation_required_days}} consecutive days, or at the discretion of management.

4.4. All leave requests are subject to approval by the immediate manager and {{HR_department}}.

5. Remuneration During Personal Leave

5.1. Approved personal leave days will be paid at the employee's normal basic rate of pay.

5.2. If an employee exhausts their paid personal leave days, any additional personal leave taken will be unpaid, unless otherwise agreed upon by management in exceptional circumstances.

6. Return to Work

6.1. Employees returning from personal leave due to illness or injury may be required to provide a 'fit for duty' certificate from a medical practitioner, especially if the absence was prolonged or the job involves specific physical demands.

6.2. Employees are expected to communicate their return date to their manager in advance to facilitate appropriate planning.

7. Confidentiality

All information related to an employee's personal leave request will be treated with the utmost confidentiality, in accordance with {{company_name}}'s privacy policy and applicable data protection laws.

8. Policy Review

This Personal Leave Policy will be reviewed periodically, at least every {{review_period_years}} years, or as necessitated by changes in legislation or company requirements.
