1. Purpose
The purpose of this policy is to establish guidelines for the appropriate use of company-owned mobile phones and personal mobile phones when used for business purposes. This policy aims to ensure compliance with legal and regulatory requirements, protect company assets and information, and promote a productive and professional work environment.
2. Scope
This policy applies to all employees, contractors, and temporary staff who are provided with a company mobile phone or who use their personal mobile phone for company business, regardless of their employment status or location.
3. Company-Provided Mobile Phones
3.1. **Issuance and Responsibility:** Company-provided mobile phones are issued for business use. Employees are responsible for the care, security, and proper use of their assigned device. Any loss, theft, or damage must be reported immediately to {{reporting_department}}.
3.2. **Acceptable Use:** Company mobile phones should primarily be used for business-related communications. Limited personal use is permissible, provided it does not interfere with work duties, incur excessive costs, or violate any other company policies.
3.3. **Software and Applications:** Only authorised company software and applications may be installed on company-provided mobile phones. Employees must not install unapproved applications or make unauthorised modifications to the device's operating system.
3.4. **Data Security:** Employees must take all reasonable steps to protect company data stored on their mobile phone, including using strong passwords/PINs, enabling screen lock, and reporting any suspected security breaches.
3.5. **Return of Device:** Upon termination of employment or when requested, employees must return all company-provided mobile phones and accessories in good working order.
4. Personal Mobile Phones (BYOD - Bring Your Own Device)
4.1. **Voluntary Participation:** The use of personal mobile phones for business purposes is voluntary. Employees choosing to use their personal device for work must adhere to the provisions of this policy.
4.2. **Acceptable Use:** When used for business, personal mobile phones must be used responsibly and professionally. Business-related communications should be conducted in a manner consistent with company values and policies.
4.3. **Data Security and Privacy:** Employees must ensure that company data accessed or stored on their personal device is adequately secured. The company reserves the right to implement Mobile Device Management (MDM) solutions for devices accessing company networks and data. Employees must understand that in the event of a security incident or legal requirement, the company may need to access relevant business data on their personal device.
4.4. **Costs:** Employees are generally responsible for all costs associated with their personal mobile phone, including data plans, calls, and text messages. Reimbursement for business-related calls or data will be at the discretion of {{management_or_HR_department}} and in accordance with the company's expense policy.
4.5. **No Expectation of Privacy (Business Data):** While the company respects employee privacy, employees should have no expectation of privacy regarding business data or communications conducted on personal devices used for work purposes.
5. Prohibited Use
The following uses of mobile phones (company-provided or personal, when used for business) are strictly prohibited:
5.1. Engaging in illegal activities.
5.2. Accessing, creating, or transmitting offensive, harassing, discriminatory, or inappropriate content.
5.3. Conducting company business on unsecured public Wi-Fi networks without using a company-approved VPN.
5.4. Excessive personal use that interferes with job performance or productivity.
5.5. Using the phone in a manner that creates a safety risk (e.g., texting while driving).
5.6. Tampering with or bypassing security measures on company-provided devices.
6. Data Roaming and International Calls
Employees traveling internationally with company-provided phones must obtain prior approval from {{approving_manager}} for data roaming and international call packages. Employees using personal phones for international business travel should consult with {{approving_manager}} regarding potential reimbursement for business-related communication costs.
7. Loss or Theft
Any loss or theft of a company-provided or personal mobile phone used for business must be reported immediately to {{reporting_department}} and {{IT_department}}. Failure to report promptly may result in disciplinary action.
8. Monitoring and Enforcement
The company reserves the right to monitor the use of company-provided mobile phones and, where permitted by law and policy, business-related data and communications on personal devices used for work. Violations of this policy may result in disciplinary action, up to and including termination of employment, and potential legal action.
9. Policy Review
This policy will be reviewed periodically, at least every {{number_of_months}} months, or as required by changes in legislation or company operational needs. Employees will be notified of any significant updates or changes.
