1. Introduction and Purpose

This Payment Collections Policy (hereinafter referred to as 'the Policy') outlines the procedures and guidelines for the collection of outstanding debts owed to {{company_name}}. The purpose of this Policy is to ensure timely collection of payments, minimize bad debts, and maintain positive customer relationships where possible, while adhering to all applicable legal and ethical standards in the Southern African business context.

2. Scope

This Policy applies to all employees involved in the sales, invoicing, and accounts receivable functions of {{company_name}}. It covers all credit sales and services provided by the company to its customers.

3. Payment Terms

Default payment terms are {{default_payment_terms}}, unless otherwise agreed upon in writing and documented in the customer agreement or invoice. Customers are responsible for making payments by the due date specified on the invoice. Any variations to standard payment terms must be approved by {{approving_authority}}.

4. Invoicing Procedures

All invoices will be generated accurately and promptly after the delivery of goods or services. Invoices will clearly state: {{invoice_number}}, {{invoice_date}}, {{customer_name}}, {{customer_address}}, {{goods_services_description}}, {{quantity}}, {{unit_price}}, {{total_amount_due}}, and {{payment_due_date}}. Invoices will be delivered to customers via {{delivery_method_of_invoices}}.

5. Collection Process

The following steps will be taken to collect outstanding payments:

a. **Pre-due Date Reminder:** A reminder will be sent {{number_of_days_before_due_date}} days before the payment due date via {{reminder_method}}.

b. **Overdue Reminder 1:** If payment is not received by the due date, a first overdue notice will be sent on {{number_of_days_after_due_date_1}} days past the due date via {{overdue_method_1}}. This notice will clearly state that the payment is overdue and request immediate settlement.

c. **Overdue Reminder 2:** If payment remains outstanding after {{number_of_days_after_due_date_2}} days past the due date, a second, more assertive overdue notice will be sent via {{overdue_method_2}}. This notice may include information on potential interest charges or service fees for late payment as stipulated in the customer agreement.

d. **Telephone Follow-up:** If payment is still not received after {{number_of_days_after_due_date_3}} days past the due date, a direct telephone call will be made to the customer by {{responsible_person_for_calls}} to discuss the outstanding balance and ascertain the reason for non-payment.

e. **Final Demand Letter:** If collection efforts are unsuccessful after {{number_of_days_after_due_date_4}} days past the due date, a formal final demand letter will be issued, advising of potential further action, such as escalation to a debt collection agency or legal proceedings.

6. Dispute Resolution

Should a customer dispute an invoice, the matter will be promptly investigated by {{disputes_department}}. All efforts will be made to resolve disputes amicably and in a timely manner. Collection efforts for the disputed amount will be paused until the dispute is resolved.

7. Interest and Fees on Overdue Accounts

In accordance with our terms and conditions, interest may be charged on overdue accounts at a rate of {{interest_rate_percentage}}% per annum, calculated from the due date until the date of full payment. Additionally, administrative fees of {{admin_fee_amount}} may be applied for each overdue notice issued after {{number_of_days_for_admin_fee}} days past the due date.

8. Bad Debt Write-offs

Accounts deemed uncollectible after exhaustive collection efforts and internal review will be considered for write-off. The decision to write off a bad debt must be approved by {{write_off_approval_authority}} and documented accordingly.

9. Confidentiality

All information related to customer accounts and collection efforts will be handled with the utmost confidentiality and in compliance with data protection regulations.

10. Policy Review

This Policy will be reviewed annually by {{review_department}} to ensure its continued effectiveness and compliance with current legal and business practices. Any amendments to this Policy will be communicated to all relevant employees.
