Travel Services Agreement
This Travel Services Agreement ('Agreement') is made and entered into on this {{day}} day of {{month}}, {{year}}, by and between:
{{company_name}}, a company duly incorporated under the laws of {{country}}, with its principal place of business at {{company_address}} (hereinafter referred to as 'the Company'); and
{{employee_name}}, an employee of the Company, with employee ID {{employee_id}} and residing at {{employee_address}} (hereinafter referred to as 'the Employee').
Purpose of Agreement
This Agreement sets forth the terms and conditions under which the Company will provide or facilitate travel services for the Employee for business-related purposes. This includes, but is not limited to, airfare, accommodation, ground transportation, and per diem allowances.
Expenses and Reimbursement
The Company will cover all reasonable and necessary expenses incurred by the Employee during approved business travel, in accordance with the Company's expense reimbursement policy ({{expense_policy_reference}}). These expenses may include, but are not limited to, meals, incidentals, and business-related communication costs. The Employee must submit expense reports with original receipts within {{days_to_submit_expenses}} days of returning from travel.
Cash advances for travel may be provided at the discretion of the Company, subject to prior approval and adherence to Company policy.
Employee Responsibilities
The Employee agrees to:
a. Conduct themselves professionally and ethically at all times while on behalf of the Company.
b. Safeguard Company assets and information during travel.
c. Adhere to all local laws and customs of the destination country(ies).
d. Report any security concerns or incidents immediately to {{security_contact}}.
e. Obtain and maintain all necessary travel documents, including passports and visas, at their own expense, unless otherwise agreed upon by the Company.
Insurance
The Company will provide business travel insurance coverage for the Employee during approved business trips. Details of the insurance policy, including coverage limits and emergency contact information, will be provided to the Employee prior to travel ({{insurance_policy_reference}}). It is the Employee's responsibility to understand the terms of this insurance.
Termination of Agreement
This Agreement shall remain in full force and effect for the duration of the Employee's employment with the Company, or until such time as it is superseded by a new agreement or terminated by either party with {{notice_period}} days' written notice.
In the event of termination of employment, any outstanding travel expenses or advances must be settled on or before the last day of employment.
Governing Law
This Agreement shall be governed by and construed in accordance with the laws of {{country}}.
